What a quote should include
- Your business name, address and contact details
- The client's name and the person you are writing to
- A quote number and the date it was issued
- A clear description of the scope — what is included and what is not
- Line items with quantities and rates, and the total
- How long the quote is valid and what happens next
- Deposit or payment terms, if any
Quote vs estimate
A quote is usually a fixed price you commit to for a defined scope. An estimate is a best guess that can move as the work is scoped. Many freelancers and small contractors use the terms interchangeably on the document itself — what matters is that the scope and the validity window are written down.
Quote → invoice in one click
Once the client approves, you do not need to retype anything. Click Convert to invoice and BillCanvas opens a new invoice with the same business details, client and line items, a fresh invoice number and Net 30 terms. The original quote number is kept as a reference on the invoice.
