What HMRC expects
A full VAT invoice needs a unique sequential number, the time of supply, the issue date, your name/address/VAT number, the customer’s name/address, a description and quantity, the VAT rate and amount, the totals and any reverse charge or margin scheme note. The template gives you the fields; you still have to fill them correctly. See HMRC VATREC5010 for the authoritative list.
VAT or no VAT?
If you are VAT-registered, show VAT separately and include your VAT number. If you are not registered, do not charge VAT and do not call the document a VAT invoice. The UK invoicing hub explains registration and rates.
Currency
The template is designed for GBP. If you invoice in another currency, show the sterling equivalent and the exchange rate used for VAT. State clearly which currency the invoice is in.
This is general information, not tax advice. Check the current HMRC rules before you send a VAT invoice.
FAQ
Is this a valid UK VAT invoice?
It is a blank template. Once you fill in your business details, VAT number, customer, line items and VAT amount, it can serve as a VAT invoice. Check every required field against HMRC’s list before sending.
What VAT rate should I use?
The standard rate is 20%; reduced-rate supplies are 5% and zero-rated supplies are 0%. The rate depends on what you sell, so check GOV.UK before you fill in the VAT line.
Is the template A4?
Yes. It is A4, which is the standard UK paper size, and it downloads as a PDF.
Can I use it if I am not VAT-registered?
You can use the layout, but do not charge VAT or call it a VAT invoice. Leave the VAT line blank or remove it and use the invoice as a normal request for payment.
