How the formulas work
Each line amount is quantity multiplied by rate. The subtotal adds the lines, the tax line applies the rate you enter, and the order total adds the tax. The approval block is a text area, not a formula; print it and sign it.
Approval and numbering
Use a year-based sequence such as PO-2026-014 and keep a log. Put the approver’s name in the signed block. A PO without an authorized signature is a suggestion; a signed one is an instruction the supplier can rely on.
Delivery terms
Write who pays freight, where the goods are handed over and when. “FOB destination” means the seller carries the risk until delivery; “FOB origin” passes it earlier. If partial delivery is acceptable, say so.
Printing
The print area is US Letter, portrait, one page wide. Save as PDF and send it to the supplier; ask them to put the PO number on their invoice and packing slip.
