How to make an invoice in Word

Word gives you full control over the layout, but it does not do the math. Start from a template, type the totals carefully, and send a PDF.

Start from the Word template

The Word invoice template is a US Letter DOCX with From and Bill to blocks, a line item table, totals and payment instructions. Replace the bracketed text rather than rebuilding the layout.

Fill the fields

  1. Put your legal business name and remittance address at the top left.
  2. Add the client’s legal name and the contact who approves invoices.
  3. Give the invoice a unique number, an issue date and a due date.
  4. Use one row per deliverable; copy a row to add more, or delete a row you do not need.
  5. Type the amount for each row, then the subtotal, tax and total.
  6. Write how to pay: ACH, check, card link or bank details.

The totals are manual

Word does not run formulas. Check the arithmetic before you send, or use the Excel invoice template or online generator if you want the totals to calculate. A wrong total in a Word invoice is a quick way to lose trust.

Page size and printing

The template is US Letter. If you print on A4, change Layout → Size → A4 and check that the table still fits. Save as PDF (File → Save As → PDF) so fonts and table widths do not shift on the client’s machine.

Save your own template

Once you have replaced the placeholders with your business details, payment instructions and standard terms, save that version as your template. Next month you only change the client, the line items and the dates. Do not save it over the original blank template — keep a clean copy for the next client.

Common mistakes

  • No due date — “Net 30” alone is not a date.
  • No payment method, so the client has to ask.
  • Reusing an invoice number or editing an invoice after it was sent.
  • Forgetting to replace the bracketed placeholder text.
  • Sending the .docx instead of a PDF.

Word vs Google Docs vs Excel

Word is best for exact print control. Google Docs is better for browser editing and sharing. Excel is better when you want formulas. Use the invoice guide for the field-by-field checklist.
