How to use it
- Download the .docx and replace the bracketed text.
- Write the scope so the client can approve it without a meeting: what is included, what is excluded and how long the price holds.
- Add the validity date and a deposit or next step in the bottom block.
- Fill in the line amounts and totals, then save as PDF before sending.
What belongs on a quote
A quote is an offer: this work, this price, for this long. Put the price, the scope, the validity date and the next step in writing. If the price depends on unknowns, say what they are and how you will price them if they change.
Quote, estimate or proposal?
Clients use the words interchangeably. A quote is usually a fixed price for defined work; an estimate can move; a proposal adds the approach and timeline. The document guide explains the difference, and the blank PDF quote is there if you prefer paper.
Turn an approved quote into an invoice
When the work is done, do not retype it. The quote generator carries the line items into an invoice and references the quote number.
